More than 100 reports are available to managers. They can be found by clicking the Profile icon and selecting Favorites.
To add a favorite report, click on Manage Favorites (below the report list).
Then search for your favorite reports in the Favorite Custom/Standard Reports box.
NOTE: Reports you’ve run can be viewed by clicking the Profile icon and selecting W: Drive. They will auto-delete after 5 days.

Standard Reports are built into Workday and cannot be edited. However, you can export them to Excel to remove unwanted columns.
How to Run Reports - Example
To show you how reporting works in Workday, here are instructions for running the Anniversary/Birthday Report.
Type Anniversary/Birthday Report into the search bar and then select it from the search results.
Search for and select your organization in the Organizations by Type field.
Check the box next to Include Subordinate Organizations.
Click OK.
Click on column titles to sort or add filters. After setting the Filter Conditions and choosing the Values, click the Filter button.
You can export the report to Excel, apply filters, view the report as a chart or set grid preferences by clicking the icons in the upper right corner of the report.
NOTE: If there is a delay to run a report, Workday will show a Notify Me Later button. This report will appear in your notifications and your W: Drive.
Delegation is the assignment of any responsibility or authority to another person to carry out specific activities. Because your tasks do not time-out, Workday allows managers to delegate. The manager who delegates the work remains accountable for the outcome of the delegated work. Check with your manager and local HRBP prior to start this process. Delegation can occur before (if granted) and during a business process.
Type My Delegations into the search bar and select it from the search results.
Click Manage Delegations.
You have the option to: Do Inbox Tasks on my Behalf: The person who is receiving the delegation can approve/review/edit business processes from your Inbox.
Enter the Begin Date.
Enter the End Date.
Enter the name of the person you wish to delegate to under Delegate.
If you would like to delegate your Inbox Tasks, you can select all business processes or only certain ones. Click the For Business Process box to search for and select business processes to delegate (available tasks are stated below).
Click Submit.
NOTE: Delegation will begin once approvals are finished. For immediate assistance, contact the Sysco Service Desk.
The following finance processes are available for delegation:
From your device, navigate to the Google Play Store.
Tap Search and type Workday.
Select the Workday app, then tap Install.

When asked for your employer name, type sysco.
Enter your Sysco Network ID and password, then tap Sign In.
To install Workday on your iPad or iPhone:
From your device, navigate to the App Store.
Type Workday into the search field and select the Workday app from the search results.

When asked for your employer name, type sysco.
Enter your Sysco Network ID and password, then tap Sign In.

When asked for your employer name, type sysco, even if your employer uses a different name (such as Freshpoint or Buckhead Meats).

Managers can initiate the transfer of an associate to a receiving manager or to another position within their organization (i.e., Sales Trainee to Marketing Associate, Driver Trainee to Driver or moving an MA to a different DSM). If an associate is moving to another location or it is a competitive hire, the move will be managed by TA (competitive hire) or HR Operations (non-competitive hire).
Go to the associate's profile.
Click the Actions button.
NOTE: You can also manage job changes by clicking the My Team Management icon, then clicking Transfer, Promote or Change Job or Change Location in the Actions section.
Select Job Change > Transfer, Promote or Change Job.
Fill in all required information.
Click Start.
An orange progress bar displays near the top of the page to guide you through the process.
Click Next to move through the sections. Or, click Summary to edit using a single-page view.
NOTES:
Positions without Job Requisitions: These positions have not been requested to be announced or posted through Talent Acquisition.
Positions with Job Requisitions: If you have created a requisition for this position, you may choose this option.
Job Profile, Location and Cost Center: You are unable to change the Job Profile, because that is how the position was created and approved. Ensure that the Cost Center is correct.
Compensation: Adjust to salary or hourly as needed.
The date of change will default to the start of the next payroll period.
Once all edits are made, click Submit.
NOTE: Additional approvals are required. You can click on Details and Process and/or search the Archive in your Inbox to see the approval status.
You can attach documents, such as performance appraisals or disciplinary warnings, to an associate’s profile. See below for information about document categories and who can view them.
Go to the associate’s profile.
Click Personal.
Click the Add button under Documents.
Drop files onto the gray area or click Select Files to upload them.
Select a Document Category. Supporting comments are optional.
Click Upload.
Click OK.
Review, then click Done.
The following summarizes the various documents that should be stored in Workday HCM and who has access to upload and view those documents.
Frequently-used reports can be scheduled to run on a daily, weekly or monthly basis or on a specific future date.
Type Schedule a Report into the search bar.
Select the name of the report to be scheduled (for example: New Hires Report) in the Report field.
Select a frequency option (for example: Weekly Recurrence) in the Run Frequency field.
Click Report Criteria and select the name of the organization. Check the “Include Subordinates” box if you want all associates (not just direct reports) under that leader or organization to be included.
Click Schedule.
Fill in the frequency, day(s), start time, time zone and range of dates (limited to 5 times after the start of the next calendar year).
Click Output.
Select the output format. It will default to Excel, but you can change it to PDF or CSV format.
If you want the report to be saved for longer than five days, edit the File to Be Deleted After (Days) field.
A new tab titled Additional Info will appear. Select this tab to confirm the scheduled days and times for your selected report.

You can view compensation details and request base salary changes or one-time payments for your direct reports.
Go to the associate’s profile.
Click the Actions button.
Click Compensation > Request One-Time Payment.
Enter the Effective Date and click OK.
The One-Time Payment Summary details will display. Click the Add button in the One-Time Payment section.
Select the appropriate plan and fill in the payment amount.
Click Submit, then Done.
NOTE: The one-time payment must receive all approvals by the Monday before your designated Friday's payroll. The Effective Date entered should be a date within the pay period and will pay on the following pay issue date (for example, enter an effective date between Sunday, June 23 and Saturday, July 6 for the payment to be paid on the Friday, July 12 paycheck). Scheduled Payment Date will default to the Effective Date entered. Do not alter the Scheduled Payment Date, as it may cause an error in the desired date for payment.
A position is a unique “chair” or open seat within your Supervisory Organization. A position can be filled after opening a job requisition for that position. You may need to create a new position for your team due to increased headcount or an increase in your budget.
Type Create Position into the search bar.
Click Create Position in the search results.
Your Supervisory Organization will be auto-filled, but you can change it if necessary.
Click OK.
Fill in the position information and hiring restrictions. Ignore the Qualifications tab.
NOTES:
Job Posting Title: TypeEXACTLY the same name as the Job Profile.
Availability Date is when the position is available to be seen and is effective in Workday.
Earliest Hire Date is when the position can be filled. You cannot hire before this date.
Click Submit.
Click the Open button in the Up Next section. (Or click Done and complete the rest of the process from your Inbox later.)
In the Organizations section, review the Company and Cost Center details. If you need to make changes, click the Edit icons.
Change the Organization Assignments (if necessary).
Click Submit.
NOTE: Additional approvals are required. You can view approval status in your Inbox Archive.
The Talent Acquisition team initiates associate transfers/changes of location/promotions through the Workday system if a requisition was approved. The managers and HRBPs will approve the change.
Go to your Inbox.
Review the change.
Approve by clicking Submit.
You can view the status of approvals in your Inbox Archive.
NOTES: If an associate is moving to or from a company where there is a Union Membership, the HRBP will receive an inbox notification to add or remove the Union Membership.
Type Scheduled Future Processes by Date into the search bar.
Filter the Process Type column by Report to locate your scheduled reports. Or filter the Owned by Worker column by Name.
Click the Action button next to the report name. Then select Scheduled Future Process, then Edit or Delete. Edit will return to the Report Criteria/Schedule/Output options that were presented in the Schedule a Report process. Delete will take you to a confirmation page.
Fields with three bars on the right side allow you to browse or search for options.
Click inside the field, then use the arrows to browse. Or, type a keyword or name into the search box and press Enter.
Click the button next to an option to select it.
Actions
Actions buttons are used to access relevant actions, such as launching business processes, viewing reports or editing personal information.
Actions buttons are found on profile pages:
They are also found throughout the Workday system. Just place your cursor to the right of any blue text (such as a name). An orange Related Actions button will appear, giving you access to actions related to that text.
Editable Information
The Edit icon looks like a pencil and indicates that a piece of information can be edited.
If a position a) has been approved, b) needs to be changed, c) does not have an open job requisition (you must close the requisition first) and d) there isn’t an associate occupying it, follow these steps to edit the position restrictions:
Click the My Open Positions icon on the home page.
Place your cursor over the position you wish to change and click the Actions button next to it.
Select Position Restrictions > Edit Position Restrictions.
In the Job Profile field, click the “x” to remove the profile.
Select a new Job Profile.
Scroll back up to the Position Details section and enter the new Job Posting Title. It must match the new Job Profile exactly.
Change the Availability and Earliest Hire Date, if necessary.
Click Submit.
Change (if necessary) the Organization Assignments.
Click Submit.
NOTE: Additional approvals are required. You can view approval status in your Inbox Archive.
At this time, only non-California associates in the U.S. are able to request time off through Workday.
You can approve absence requests, deny them or send them back for revision. At this time, only salaried associates can request time off in Workday. Hourly associates will be able to request time off in Workday at a later date.
Absence requests will appear in your Inbox.
Click Approve, Send Back or Deny.
NOTE: You can also click the View Balances button to view the associate’s time off balances.
Error messages are displayed in red. They typically identify fields where information is missing or entered incorrectly.
Click the red box to view error details.
You cannot complete a task until all errors are fixed.
Alert Messages
Alert messages are displayed in orange. They notify you of potential problems on a page. Alerts also display the location of missing or problematic information.
Click the orange box to view alert details.
Unlike errors, alerts do not prevent the task from being completed.
Click the Team Absence icon on the home page to access the Team Absence dashboard, which gives you quick access to reports and tasks for managing team absences.
Demotion - Competitive: A demotion means the associate will have fewer responsibilities and will earn a lower salary. Competitive means the associate applied to be demoted and there is a requisition for the position.
Demotion - Reclassification: HR OPs use only
Demotion - Voluntary: For HR OPs / Manager use only
Lateral
Lateral - Competitive: The associate applied for a lateral move and there is a requisition for the position (i.e., MA to Account Executive in the same OpCo)
Lateral - Non-Competitive: HR OPs use only (i.e., President positions)
Promotion
Promotion - Competitive Promotion: A promotion means the associate will have more responsibilities and will earn a higher salary. Competitive means the associate applied to be promoted and there is a requisition for the position.
Promotion - Non-Competitive Promotion: HR OPs use only
Promotion - Normal Career Progression: Manager use only (i.e., Sales Trainee to MA)
Transfer
Change Company: A company change that is neither a promotion nor a demotion. It must have a requisition and the associate must apply for this position.
Minimaster - Transfer: DO NOT USE
Move to Another Manager: Manager use only (i.e., MA moves to another DSM)
Click the Profile icon or the current profile photo three times. Your phone will prompt you to choose from your picture library or take a picture with your camera.
DESKTOP:
Click the Personal Information icon on the home screen.
In the Change box, click Photo.
Drop a photo onto the gray area or click Select files to select a photo.
To access your account settings, click the Profile icon in the top-right corner and select My Account. From there, you can change your password and account preferences, manage your account’s challenge questions and switch accounts.
A job requisition can be created only after a position has been created and approved.
Type Create Job Requisition into the search bar.
Click Create Job Requisition in the search results.
Your Supervisory Organization will be auto-filled.
Click the box next to For Existing Position, then select the position you’re creating a requisition for.
Select the Worker Type.
Click OK.

Open the next tab and set the Target Compensation.
Review and click Submit.

Job Details Fields
Recruiting Start Date: Select the date you wish your TAP to receive the Job Requisition in SuccessFactors Recruiting and begin recruiting.
If a future date is selected, the Job Requisition will not import into SuccessFactors Recruiting and the TAP will not be able to see the requisition until that date.
Target Hire Date: Select the date you are targeting the new hire to start. This date imports into the Target Start Date field in the SuccessFactors Recruiting requisition. This date is discussed during the intake call and is editable in SuccessFactors Recruiting.
Target End Date: Do not use this field for associate positions. (See the Contracting a Contingent/Non-Employee Worker section).
Once a job requisition has been approved, the manager will receive an Inbox item to complete the Equipment Provisioning.
Go to your Inbox.
Open the task for the new job requisition.
Complete the Equipment Provisioning Questionnaire.
Click Submit.
NOTE: If no equipment is required, just click Submit without selecting any options. If an associate’s Job Profile is Outbound Selector or Driver, you will not receive this Inbox task.
While you will be able to see associates beyond the USBL companies, please do not start any task or business process on any Specialty/Canada/International or Minimaster associate. These associates can be recognized by viewing their profiles. In the Job Details section, the Job Profile will show HCM Minimaster Exempt.
You may have to terminate an associate after he/she has been asked to leave or has resigned.
Go to the associate’s profile.
Click the Actions button.
Select Job Change > Terminate Associate.
Fill in the Primary Reason, Termination Date and other required details.
Fill in the Primary Reason, Termination Date and other required details.
Indicate whether the position is to be closed or is available for overlap after this termination. Position overlap allows a replacement worker to be hired into the same position before the current associate leaves.
Click Submit.
If the associate has access to a Sysco email account, click Complete Questionnaire and answer the questions.
If question #4 applies, enter the name and email address of the person the terminated associate’s email address should be forwarded to.
Click Submit.
NOTE: The associate is still considered active until midnight on the termination date.
UNION REINSTATEMENTS: If an associate is being reinstated after a union grievance, contact Support to “Rescind Termination” so the associate’s termination does not reflect in his or her history and the I-9 process does not initiate.
View of Workday for a Terminated Associate
An associate who has been terminated will continue to have limited access to Workday. The access will end on April 15 of the year following the termination.
Terminated associates will only be able to change their personal information and payment options.

NOTE: An associate will continue to have full access to Workday for 24 hours after the date of termination. The associate will receive an email with a new password as part of the termination process. Contact Support if access needs to be revoked immediately.
If an associate has a future-dated termination, you can create a requisition and hire someone into that same position.
Type create job requisition into the search bar.
Click Create Job Requisition in the search results.
Your Supervisory Organization will be auto-filled.
Click the box next to For Existing Position, then select the position of the departing associate.
Worker Type will be auto-filled.
Click OK.
Workday will display the name of the associate who will be replaced.
Click Next to move through the sections. Or, click Summary to edit using a single-page view.
NOTE: Job Profile, Location, Cost Center, Company and Posting Title are defaulted to your Organization.
On the Assign Roles page, click Add.

While you are able to create a requisition for an associate who does not have a future termination, no one can be hired into the same seat as an associate who has not been scheduled for a termination or transfer.
If a manager has Inbox tasks that were not completed before termination, the manager’s manager will receive an Inbox task called “Manage Business Process.”
Go to the Inbox.
Open the “Manage Business Process” task for the terminated associate.
For each business process, click the box in the Actions column and select an option: Reassign or Cancel.
If you select Reassign, you can assign the task to yourself or someone else.
If you select Cancel, the task will be cancelled. If a task is cancelled, the initiator must restart from the beginning. For example, if you cancel an Absence Request, the initiator must request the time off again.
If you are reassigning the task, click the box in the Reassign To column and select the name of the person (yourself or someone else in the management chain for that position) who will inherit the task.
NOTE: If you are reassigning a task to someone other than yourself, you must select someone else in the management chain for that position. If an associate is a No Show, you will receive their onboarding steps in your Inbox. Make sure to cancel all steps.
Click Submit.
If you reassigned tasks to yourself, you will find those tasks in your Inbox.
Hiring a contingent/non-employee worker can be done only after a position has been created and approved. Sysco guidelines and policies for contingent workers must be followed. Check with your HRBP before you begin this process.
Type contract contingent worker into the search bar.
Click Contract Contingent Worker in the search results.
Your Supervisory Organization will be auto-filled.
Click the button next to Create a New Pre-Hire, then select the position you’re creating a requisition for.
Click OK.
Enter the first and last name of the contingent/non-employee worker.
Click Contact Information and enter a phone number or an email address. You can enter “9999” in the phone number tab if no information is available.
Click Next.
Enter the Contract Start Date.
Enter the reason for the contract.
In the Position field, select Positions Without Requisitions.
Select the position you created for this worker.
Contingent Worker Type, Job Profile, Time Type and Location will be auto-filled from the position.
Enter the Contract End Date.
NOTE: Contract end date cannot be more than twelve months after start date.
Click Submit.
If the contractor already has a Network ID (current), click on Edit Additional Data.
Enter the current Network ID.
NOTE: Steps 16 & 17 only apply if the Contingent Worker already has a Network ID. You can skip the step if this is not applicable.
Ending a Contingent/Non-Employee Worker’s Contract
Managers have the ability to see their Supervisory Organization (a representation of the members of their organization). This visual page allows Managers to see if a position has been created, when, the approval process and whether a Job Requisition is attached to it.
1. Type your own name into the search bar.
2. Click on the option that includes “Supervisory Organization”.
3. You will see a series of tabs, explained in the following sections.
Members Tab: Shows the names of your subordinates and the positions they currently hold (your filled positions).
Staffing Tab: Shows your available positions, with and without Job Requisitions.
Open positions with pending approvals are also included.
Unavailable to Fill Tab: Shows positions that have a future date as the availability date. A Job Requisition can only be requested on or after the date the position becomes available. Positions with a future date will automatically move to the Staffing tab on the availability date.
NOTES:
Tabs are only visible when they have information to show. For example, the Unavailable to Fill tab will not appear if you do not have unavailable positions (positions with future dates).
An available position is a position that does NOT have a future date. The My Open Positions worklet will only show available open positions.
The Inbox Archive is a helpful tool to see if any approvals are needed. Go to your Inbox, click on Archive, then click the Process tab.

Whether you're backfilling a position or creating a new position, start by having a conversation with your leader to make sure you have authority to add headcount or start the hiring process. I have a bonus-eligible associate whose bonus amount in Workday HCM is incorrect. How can I change that?
This is currently an informational field in Workday HCM, and we do want it to be accurate as we will be implementing the Compensation portion of Workday in the future. Notify your HRBP about the discrepancy and they will work to get the bonus amount updated in the system.

There is no need to reset your current Network ID and password. You will use the same Network ID and password you are using now.

How can I take advantage of the overlapping position feature of Workday HCM?
Workday HCM allows you to start the requisition or posting process, even while the current associate is still in place (such as when someone gives their notice, or has an upcoming retirement). To use the overlap feature when entering the termination of an associate, do not close the position.

Can I change an associate’s pay in Workday HCM?
You can request a change in an associate’s base pay, but you should discuss with your leader and HRBP first to determine whether the budget and circumstances allow for an increase. Off-cycle pay increases (outside the normal annual pay review process) route for approval in Workday HCM, and all approvals are made within Sysco’s compensation policy and guidelines.

When associates transfer from one location to another, will the process remain the same (Talent Acquisition will transfer the associate without HR terminating them)?
Associates who move from one Sysco location to another or are transferring to a new role should not be terminated.
If the associate applied for the position (competitive move), then your TAP will initiate the job change or transfer.

Can I future date an associate’s termination?
When an associate has given their notice or has an upcoming retirement, you may enter a future termination date. This feature, combined with designating a position for “overlap” allows you to start the important process of hiring sooner than you have been able to before. If you intend to backfill a position when you are working through the termination process in Workday HCM, do not choose to close the position.

When should I close a position vs. leave it open?
As a general rule, you should leave a position open if you intend to fill the position in the near term (use 6 months as a guide). Open positions are your way of letting the company know what to project for headcount, so you should review open positions every month through the lens of whether you still envision filling that seat.

When will new hires begin using Workday?

If I update my direct deposit or W-4 information, when will changes go into effect?
While updated in Workday immediately, updating the payroll system can take up to two weeks before direct deposit and W-4 updates take effect. Don’t close your current bank account until your paycheck has transferred to your new account.

Does an associate have to be terminated in order to start the backfill process?
While you cannot hire a person into a role that has an active associate in it, you can start the requisition process once you have entered a future termination date (such as when an associate gives notice or has an upcoming retirement).

You do not need a professionally taken photo to load to your Workday profile. Beginning Oct. 29, look for blue, green and orange banners promoting the challenge. Take a selfie in front of the banner of your choosing (or any other solid backdrop will work) and load it to your profile to win. Remember, first impressions count and everyone in the company will see your photo, so make it a good one!

If I am currently filling an open position, will that automatically transfer to SAP?
Any open positions currently in the process of being filled will transition to Workday HCM. Going forward, you will need to create a new position or job requisition to backfill or create new positions for hiring.

Winnings are taxed, but the company is grossing up the award so your take-home prize will be $200. If you participate in the 401(k) or Employee Stock Purchase Program, your deductions will reduce the prize winnings since those are pre-tax deductions.

Requisitions will occur within Workday. You will create a requisition in Workday, but you’ll continue to use SuccessFactors to update your Talent Acquisition partner on what you wish to do with your candidate.

Will I get an email notification for everything I need to review or approve in Workday?
Workday gives you the ability to choose whether you would like one email for every task, or one email with all tasks bundled together each day. You can change your account settings anytime (Profile picture > Account Settings > go to the bottom of the page and choose “daily digest” or “email for every task”).

Unlike SAP, when something has routed to you for approval, there is no “timing out” feature. The request for approval will stay in your inbox until you approve it or send it back to the requester. If it's just one or two associates, this can be easily managed within the Change Job transaction in Workday. Identify the associate then click Job Change > Transfer, Promote, or Change Job > Reasons > Transfer > Move to Another Manager. And then fill in the remaining details.

Will new hires have access to SIU classes on their first day of work?
SIU does not interface with Workday so if associates have access to the network, they should be able to access SIU. The SIU link is available through the Dish and by opening the External Links Worklet in Workday.

The Associate Onboarding Tasks only launch on the date of hire. Associates will not be able to complete any of these tasks prior to their date of hire.

Is there a way for managers or HR to send a group email to all associates who have entered their email?
There is not a way to initiate a group email from Workday. However, you can run a report in Workday to access associate contact information. If you filter it correctly in Excel, you'll be able to email your associates through Outlook.

How will we receive usernames and passwords for transferred associates who do not receive a welcome letter?
Contact the Sysco Service Desk if the Associate does not remember their User ID and password.

What is the difference between Time in Position and Service Date?
Time in position is the time in which you have occupied your job profile (current position) at Sysco. Your Service Date is your amount of time at Sysco, including if joined the company as part of an acquisition. Service Date may be adjusted if you have had a break in service.

Why can’t I request time off in Workday?
There are a couple of reasons you may not be able to request time off in Workday. First, if you are an hourly associate, time off requests are not submitted in Workday. Second, if you are a salaried associate but you do not have sufficient time in your time bank, you cannot submit a time off request.
